The $50 Travel Fee

Effective June 2011, I will begin charging a $50 consultation fee for all travel inquiries.

Anyone interested in obtaining travel information will be given 2 free quotes (two emails or two phone calls or one of each).  Upon the third inquiry, I will ask for a credit card and charge the $50 fee.

Please note that once any travel is booked through me, I will gladly refund the $50 fee 

The Reason for Travel Fees

My decision to institute this service fee for travel inquiries has become an unfortunate necessity.  As always in life, someone does something so totally inconsiderate that suddenly a rule needs to be made.   Over the years I have had many situations where people have used me for information only to book elsewhere, but I shrugged it off. 

However,
in February 2011 and then again in April 2011, I was involved in two situations where I spent an inordinate amount of time researching extensive travel options only to see my time go completely to waste.  These back to back events convinced me that I had no choice but to put my foot down. 

In the first situation, I invested 6 hours of my time doing travel work on a trip to Puerto Rico only to have the individual book her trip through an Internet Travel site to save $10.  I have encountered situations like this before.  Although it irritating, in the past I have just brushed it off as an unfortunate downside for doing a job I enjoy. 

This sort of thing doesn't happen that often.  Ordinarily most people respect my time and reward me accordingly by booking with me.  However, shortly after the Puerto Rico situation, I ran across another person who basically stripped me of all remaining trust. 

In the second situation, I invested 40 hours - that's right, 40 hours! - of my time doing travel research for this woman's family cruise trip to Alaska only to see her book her trip through another travel agent.  Imagine my exasperation as my $1,300 commission went down the drain.

Enough is enough.  Based on these two situations, I see no choice but to institute this simple measure to protect myself from similar exploitation in the future.  

As always, I don't mind answering people's preliminary inquiries at all.  That is a natural part of doing business. 

However, just like in dating, people start to get serious on the third date.  I hope you will agree that asking for $50 as a good will gesture is not expecting too much, especially when I intend to return it once my client decides what he or she wants to do.

SITUATION ONE - The 2011 Trip to Puerto Rico 

Marla's Note:  I see no reason for anyone to take my word concerning my booking problems.  After all, I have no trouble documenting these situations.  It is easier to simply show my work and let you decide what is fair for yourself.  I hardly expect anyone to read all of these emails, but I do think a casual scroll should illustrate my dilemma nicely.

The first story is fairly typical.  I have run across at least a half-dozen identical stories.  By the way, if you think an email chain of 14 emails is a lot, I have some cruise clients who rack up email chains in the 30s on every trip!  This is definitely an information-based business.

My parents happen to be taking a Virgin Isles cruise the week before you and after mentioning it to a mutual friend of ours, he suggested they fly in early as you all are to explore San Juan before your upcoming cruise.  

My parents thought it was a great idea but don’t know much about the area. They’ve booked their air and cruise directly thru Carnival and don’t have a travel agent.  I was wondering if you would mind recommending a place to stay in San Juan. 
 
Thanks in advance for the information.  I am thinking of joining you on the Labor Day cruise.  That sounds like fun!

The cruise ship departs San Juan on April 24th at 10PM and returns May 1 at 7AM.  We are considering staying two nights pre-cruise at a 3 or 4 star; depending on the rates.   We’ve heard its best to stay in old San Juan, is that correct?
 
Also, my boyfriend lives in Arlington.  Would we get the best rates flying from Dallas to San Juan or from Houston?  Since we are returning at 7am we weren’t sure how much time to give ourselves before the flight home.

Yes, Old San Juan is the place to be.  The only drawback is that it is very expensive. It will be slightly less to fly out of Houston.   The return flight shouldn't be scheduled prior to noon. (Your cruise line should be able to give you specifics.)  Our ship arrives at 6 am and the earliest flight allowed is 11 am.

No, haven't heard from your parents.

I will send you some hotel options for a 2 night pre-cruise stay in San Juan.

This is a good hotel  that has great service and a good breakfast included. It is a very clean hotel. Located 15 minutes from Old San Juan.   City bus cost 75 cents per person! Nice location in Condado

Yes, I am very familiar with El Convento.  I have 22 guests staying at El Convento prior to our cruise arriving on April 27th.   I was able to secure a fantastic group rate of $250 per night.  However, if you are to book as an individual, the rate is much higher.  $330 per night then taxes of $84.  The nightly rate is well over $400.  But of course, a welcome beverage is included, along with one free breakfast and transportation to your ship.  El Convento is located in the heart of Old San Juan. 
 
I will be happy to book your airfare for you. If you want me to take care of your air, please let me know which city and your preferred times and I will handle.
 
Also, please provide credit card information so I can secure your hotel reservations as well.

It seems that it will be less expensive to fly in Thurs rather than Fri so we are still considering all the options.  We have a question tho.  On Expedia it said that it’s less expensive to book flight and hotel together.  Do you not agree with that?  We’d really like to get this all done this week so let me know what you think about that.

Regarding the pricing for combined flight and hotel, you should read all the fine print.

There will be additional taxes, service fees plus resort fees.  It can be very misleading.

SITUATION TWO - The 2011 Cruise Trip to Alaska 

Marla's Note:  When I am asked a travel question, I go to the Internet to find the answer.  Some information is easy to obtain, some information requires some real digging.  Frequently there is no one single answer.  Instead there are plenty of options.  

Some questions take minutes to research and some questions can take up to an hour of my time.  Once I have found the answer or "answers", I dutifully cut and paste off the Internet and forward the information via email.  I am glad to do this because I know exactly where to look.  I can save someone considerable time in the process.   However this particular woman had me running in circles.  As she racked up an email chain of 40 exchanges, she pumped me for more information than any client I have ever had.  I was inundated by questions.  Trying to please, I estimate I spent 40 hours answering her questions... a full week of work!

On the afternoon of April 18th, 2011, I received a phone inquiry from a woman requesting information on a cruise to Alaska for the month of August 2011.  She told me that she was traveling with her family and needed 3 or 4 cabins.  She was referred by a man who had been on several SSQQ Cruise trips

After asking several questions to get a feel for what she was looking for, I went to work.  I might add that in addition to the forty email communications, there were several time-consuming phone consultations as well.    In a nutshell, this woman ran me ragged.

Royal Caribbean, Celebrity, Carnival and NCL offer only 7 day options for Alaska.

This is the only ship with a 10 day itinerary for Alaska.

Would you be interested in a 14 day itinerary?  Holland America offers that.  However, prices are significantly higher.

If price isn't an issue for the group, there are other options with premium cruise lines.  I thought I remembered you saying that you needed to keep the rates lower for the others. 

The rate of $257.40 for air from DFW was a Princess only rate quote. 

The best time to see Alaska is early fall.  Alaska sailings are May through September.  I targeted August because that is the time frame requested.  If you prefer another time during the summer months, please let me know and I will quote that. 

There is always the option to add a land tour to your cruise and create either a 10 or 11 day package.  I would suggest using Royal Caribbean's Radiance of the Seas, if you wish to do that.

Roundtrip ground transfers from airport to ship are $58 per person.  You are not required to purchase.
The roundtrip air is on American Airlines.  The price is $257.40 for the August 18th sailing.  This is really a great deal! 
If your daughter is in school, I am sure the Sept. 7th sailing will conflict.

Is the airfare prices good also for the Sept. cruise dates? We have a 2 yr. old grand baby. What are the rules concerning children on cruises? Is there an age limit, and if so, do you pay a fee for them if they are under a certain age? We are not going to take her, but her Mom wants to know...Smile... Wow. I could save over a 1000.00 bucks if we could do the Sept. cruise on cabins alone.

My Mom would be in a room by herself would we still only have to pay for 1 Balcony category in this case?

When I phoned Princess to confirm specific availability for the September 7th sailing, I was told that all but 1 cabin is on a waitlist.  This is not a good thing for a party of 8 or 10.
 
There are no special rates available from Princess based on passenger age.  Children only receive a lower rate when they travel as a third of fourth passenger in a cabin.  The third passenger rate for the August 18th sailing is $501.40.  Triple occupancy cabins are very limited.
 
The good news is that Delta has an air promo with Princess for the August 18th sailing.  $258.91 
My suggestion is that you at least get these cabins on hold for the August 18th sailing. 
Price is always subject to availability.  Pricing can be changed at any time until reservation is confirmed.
 
If you would like to reserve this space, I will need full legal names for all passengers, dates of birth, an address, and a credit card for a deposit.

Your 22 year old daughter may share a cabin with one of her brothers and sisters-inlaws  The quoted triple occupancy rate for an inside would be the same $501.40 for the third person.  The other two passenger's rate in the cabin would be at the $1351.40 rate.  ($3204.20 total for 3 in the cabin)  If your mom were to now be a single occupancy that rate is $2100.40 for the inside. 

Typically there is a 24 hour courtesy hold.  I would need all the info requested below.  You would have 24 hours to make your deposit, otherwise the reservation cancels.

The rates are very competitive.  Princess is an upper end Cruise Line.  It is one step above Royal Caribbean, but if you look at the comparison, it is actually the better value on a daily basis.

Yes, you will have to pay airfare for a 2 year old, unless the child will be sitting on the parent's lap the entire flight. 

Sorry, there is no master package that includes all cruise availability and pricing.  Each cruise line markets separately.  I must go to each cruise line's agent portal and then view each sailing for a price comparison.   If you will tell me what your expectations are, I will gladly suggest the best cruise line fit for your needs.  Is price the main concern?   The summer months (when school is out) are priced higher.  I quoted August 18th/19th because it was the lowest rate available for the time period requested.  If you specifically want a 10 night cruise without adding a land excursion, you are limited to Princess Cruise Lines.  As I stated earlier, if you are able to do 14 nights, there are other premium options. There are also some promos running early June. 

Holland America offers 7 night cruises as well.  Holland has some promotions running at the moment.  The June 4th sailing on ms Westerdam is on special.  An inside cabin is $889.36.  Triple occupancy is sold out.  The least expensive balcony is $1,289.36 per person.  These are excellent prices.  However, the promo is being offered for a limited time and space is limited.    Here is that itinerary:

This sounds interesting. It is an option but we are looking into all options. Celebrity is the upper end of Royal Caribbean Cruise Lines, just as Princess is the upper end of Carnival Cruise Lines. hey are comparable. 

The 10 day option with Celebrity on the Infinity is for the September 16th sailing only.  All other Alaska sailings on Celebrity are 7 days.

The promotional air was with Princess only.

I will send you a the best price quote in July for the Sea Princess since it is the only 10 night cruise option available.

I will send a 7 Night Royal Caribbean quote as well for comparison.

If you want an upscale experience, I would stay away from Carnival and NCL.  They are targeted towards the more moderate customer.

We are still trying to keep it 10 or so days. I would love a 14 day, but with all the kids, I don't think that will work. We may do one of those later alone or with with friends. Let me know of the promos running early june, you never know, perhaps that would work even for the kids. Is that a good time to see Alaska? what would we be forfeiting if we took a trip that early? The Best Pricing and Availability on Sea Princess 10 Night during June or July is on the Sailing on Wednesday, June 29th. 
Inside Category J is $1207.74 per person double occupancy
Balcony Category BF is $2087.74 per person double occupancy 
The third person rate in the inside is an additional $587.74  

The restricted airfare is still $257.40.  The air is non-refundable and will have to be paid in full at time of reservation.
Regarding your 2 yr. old grandchild, anyone over the age of 24 months is required to pay full fare.  If the child is under 24 mos, they may sit on the parent's lap.

There are limited cabins for this sailing, so you should make a decision soon.  This is peak season and the ship will sell out.
I have provided several options.  2 Royal Caribbean 7 Night Ships Radiance and Rhapsody, Princess' Sea Princess 10 Night Sailings in June, August and September, Celebrity Infinity Night Sailing in September, 2 options on Holland America Ms Westerdam or Ms Osterdam 7 Night Sailings in June.

I kow it is difficult working with a group.  I am taking 71 people to the Southern Caribbean next week and I took 190 people to the Bahamas last September.  My suggestion would be that you be the decision maker.  You will never get 10 people to agree.  I have given you a lot of options.  Any more will muddy the water.  I have provided you with the best of what my 10 years of expertise will allow. 
If it were me, I would do either the Celebrity, 10 Night Sailing on Infinity on September 16th or the Sea Princess sailing on June 29th. 

You would be taking advantage of the July 4th holiday.  These are your best values. 
Please let me know ASAP when a decision is made, so I can secure your space.

Hi C, At the moment, air from DFW to Seattle on Sept. 16th and return on Sept.26th is at $264.
I took a quick look at Hotwire.  There are plenty of direct flights. 
If possible, I would lean to the Celebrity Infinity.  It is just a notch above the Sea Princess, although the Sea Princess is a quality vessel. 

When do you think you will be making a decision?  Tomorrow is my last day in the office.  I will be cruising with my group in Puerto Rico after that until my return on May 8th.

Yes, the Seattle airport.  You will need transportation from the airport to the pier.

Transportation can be handled upon my return.

The airfare quote was not from Celebrity.  It was directly from the airlines.  Today's airfare quote from Celebrity using choiceair is $294.
Any airfare would need to be paid in full at time of reservation.

Please let me know if you make a decision today, otherwise I look forward to hearing from you upon my return on May 8th.
I will need full legal names and birth dates for those sailing in addition to addresses along with credit card information.

I cannot guarantee price without a reservation.  We should wrap this up today, if you wish the prices quoted.  As you know, the price of oil is skyrocketing.  

The airlines were United or Continental.  Choice Air is done in connection with your Celebrity Reservation.  I am able to purchase your air at the same time as reserving your cruise.

Regarding the weather conditions, yes, it will be cold, but not freezing.

You will need jackets for all excursions and when you are out on deck.  If you want to see Alaska, this is the best time for viewing wildlife and whales.  We went in July and it was pleasant, but we didn't see any wildlife and NO WHALES.  The whole point of seeing Alaska was to see Mother Nature.  I also went in September for my first honeymoon.  I didn't find it too cold.  Your call.

Marla's Note:  Well, there you have it.  The woman ended up booking the cruise that I ultimately suggested and could have easily booked upon our return. The rates remained the same and there was still space on the ship.

Instead I watched helplessly as the $1,300 commission check went to another travel agent.  I struggled to find the silver lining in this story without much luck.  My frustration was over the top.

I resolved to never do business this way again.  If someone wants my help, this is something that I enjoy doing for people.  But I think the days of doing things based on promises and blessings are now officially over.

If you have read all of this to the bottom, I am sure you understand what I mean.
